Three steps.

Print the prepaid label.
After checkout we send you a USPS prepaid label and a box-prep checklist. Tree and Heritage plans include label(s); Sapling customers pay shipping at the post office.

Pack it well.
One flat-rate USPS box per shipment. Wrap loose photos in tissue. Don’t mail us the originals of vital records or anything irreplaceable without calling first.

We scan, OCR, and import.
Within ten business days of receipt your scans are in your account, your structured data is updated, and your originals are on their way back to you — tracked, insured.
What we scan.
- Books, non-destructively. We don’t cut bindings.
- Loose papers and letters.
- Photo albums — we photograph each page in place; nothing is removed.
- Newspaper clippings.
- Typed transcripts and oral-history notes.
- Handwritten letters (we OCR what we can; the admin transcribes the rest).
- Church and school directories.
What we won’t accept.
- Original vital records (birth, marriage, death certificates). Send a photocopy or a phone photo instead — we don’t want the liability of holding originals.
- Three-dimensional objects (medals, jewelry, books that don’t open).
- Anything irreplaceable without a phone call first. For the truly one-of-a-kind, we’ll arrange an in-person handoff if you’re near Frederick.
- Anything wet, mildewed, or actively crumbling. Stabilize it with a conservator first.
The promise.
Your originals come back. Tracked and insured every leg. We declare $100 by default and bill higher insurance at cost if you ask for it.
We photograph each box on receipt for our records. If anything arrives damaged we tell you before we start scanning.
What it costs.
- $1.50 per page after bundled labels are used.
- Tree plan: 1 prepaid label/year, up to 1 box.
- Heritage plan: 2 prepaid labels/year, up to 2 boxes.
- Sapling plan: bring your own postage; we provide the address.
Heirloom scanning is refundable until we open the box. Once we’ve scanned a page, the rate applies pro rata to scanned pages.
